Your AI Meeting Assistant
Meetings are necessary, but they can be inefficient. Automated meeting transcription ensures that no idea is lost and every decision is recorded. It's like having a dedicated secretary in every room, without the cost.
Better Meetings
Why teams choose this tool
Most meetings never get a second life because the audio is too long to re-listen to. Our transcription turns every meeting into structured text — the foundation for action items, minutes, and follow-up emails. Upload once, then summarize, search, and reformat with one click.
Meeting transcripts are the most under-leveraged knowledge artifact at most companies
The average knowledge worker now sits in 21 hours of meetings per week. The vast majority of what's said in those meetings is never written down. The minority that is written down is done by whichever person volunteered (or got assigned) to take notes — which means the note-taker is half-listening, the notes are inconsistent, and the resulting "minutes" are usually a 10-bullet bowdlerization of an 80-decision conversation.
The shift to transcribing meetings — automatically, on every call, with structured AI features run on the resulting text — is one of the biggest async-work productivity gains a team can make. Not because the transcript itself is the artifact. Because the transcript becomes the source for every other artifact your team needs: action items, decisions log, knowledge base entries, follow-up emails, async catch-ups for people who couldn't attend.
The four artifacts a team should generate from every recorded meeting
- Action items list. Our "Action Items" AI feature scans the transcript for verbs assigned to people ("Sarah will send the deck by Friday"). Output is a clean checklist with owner + deadline. Drop into Linear, Asana, ClickUp, or Notion.
- Decisions log. A separate prompt that extracts only the decisions reached, not the back-and-forth that led there. Critical for distributed teams: the decision survives, the conversation about whether to make the decision is noise.
- Async TL;DR. 4–6 bullet points capturing what would matter to someone who didn't attend. Posted in Slack so the meeting becomes consumable in 90 seconds.
- Knowledge base entry. For meetings that produce reusable knowledge (architectural decisions, customer escalations, hiring debriefs), the transcript becomes the source for a permanent doc. The AI summarizes; the human edits for clarity.
By meeting type
1:1s. Personal — most managers don't want these transcribed. If you do, focus on commitments and follow-ups, not the conversation itself. Action Items feature only.
Team weekly / standup. Transcribe → Async TL;DR → post in Slack. Async-friendly teams shrink standup attendance over time without losing context.
Customer calls (sales / success). The single highest-ROI place to transcribe. Sales reps stop frantic note-taking; the AI extracts pain points, objections, and next steps. Pipe into your CRM as call notes — reps spend more time talking to the customer, less on data entry.
Engineering / architectural reviews. Decisions Log + KB entry. Architects make decisions in meetings that affect the system for years; capturing them in text is an under-rated lever.
All-hands and town halls. Transcript published with timestamps lets anyone search "what did the CEO say about runway?" without rewatching. Eliminates the "did anyone catch what they said about Q3?" Slack threads.
Customer interviews / user research. The single best use case. Interview transcripts feed our "Extract Patterns" and "Extract Insights" features for qualitative analysis at scale.
Platform-specific notes
Zoom recordings export as MP4. Drop in here. Zoom's built-in transcript is mediocre and locked to your Zoom account; ours produces a portable text file with optional timestamps.
Google Meet exports vary by Workspace tier. The recording lands in Drive — download, transcribe.
Microsoft Teams recordings save to OneDrive. Same pattern — download, transcribe, run AI features.
In-person recordings. A laptop with a decent mic in the middle of a 6-person table will transcribe fine. Boom mics or lavaliers work even better, but rarely necessary.
Privacy, consent, and "is this legal to record"
Recording laws vary. The U.S. is split between one-party-consent states (legal if anyone in the conversation knows it's being recorded — typically you) and all-party-consent states (everyone must agree). For external customer calls, the safest practice is the disclosure at the top of the call: "We record these calls for our notes." Most modern conferencing tools surface a recording indicator that satisfies most legal regimes.
For internal meetings, your company likely has an explicit policy. Check it. Some companies prohibit recording 1:1s and HR-related conversations specifically.
FAQ for ops, EAs, and PMs
Will the AI know who said what? Our Speaker ID feature labels Speaker 1, 2, 3 etc. with about 90% accuracy on a standard meeting. For named labels, you can find-and-replace ("Speaker 1 → Jamie") after the transcript is generated.
Can I send a transcript to people who weren't on the call? Yes — and the AI summary is usually a better artifact to send than the raw transcript. People skim summaries; transcripts they ignore.
How does this fit with Otter / Fireflies / etc.? Those tools focus on live meeting capture (their bot joins your Zoom call). We focus on recorded files — drop in any recording, get the transcript and the AI artifacts. They overlap; for many teams, both have a place.
Can I bulk-process a year of recorded meetings? Yes. Bulk transcripts handles up to 100 files per job. Common use: customer success teams running back-analysis on a quarter's worth of recorded calls to find patterns.
